Squadify Privacy Policy

Our Commitment to Your Privacy
Your privacy is extremely important to us and for this reason our processes are compliant with ISO27001. This policy explains what personal information we have, how we use it and how you can check and update, manage, export or delete any of your personal information.
Glossary
Some of the key phrases that are used in this Privacy Policy include
“GDPR” means the General Data Protection Regulation (EU) 2016/679.
“UK GDPR” means the UK form of GDPR post-Brexit
“Personal Information/data” means information or data that identifies or is related to an individual.
“Privacy Collection Notice” means a notice that is used to inform you of the purpose for which we will use Personal Information, the legal basis for processing that Personal Information, the categories of recipients, any overseas transfers of the Personal Information and other details relating to the processing of Personal Information that complies with the requirements of GDPR.
For the purposes of this Privacy Policy, when we refer to:
“You” we mean the person(s) who use the Squadify platform and “We/Us/Our” we refer to The Squadify group of companies (Squadify Group Holdings Pty Limited, Squadify Holdings Pty Limited and Squadify Services)
Our business activities and functions
Squadify is a team acceleration platform. We run surveys and carry out analytics on the data captured to present teams with insights to enable them to continuously improve their teamwork and performance. In addition, we aggregate data across teams to provide benchmark data and insights to inform our coaches and clients about team behaviours.
What Personal Information do we collect and hold?
In Squadify we only collect data that is necessary to produce the team Squadify report. This comprises individual ratings of conditions in the team, as well as name, email address, and timezone. We do not hold any sensitive data (as defined by the GDPR) which includes personal data relating to religion, political opinions, sexual orientation, biometric and genetic data.
Sharing your data with others
We only share your data in the form of aggregated team-level scores in the Squadify report. It is not possible to identify individual scores or comments. These team level scores are seen by team members and your chosen Squadify Pro Coach. All data held in the database is anonymised.
Storage and Security of Personal Information
We take appropriate technological and organisational measures to secure Personal Information and protect it from loss or unauthorised disclosure or damage. All data held in our database is aggregated to a team-level score and encrypted so that it cannot be identified to an individual.
All Personal Information provided to us will be held for so long as we reasonably require to deliver services to you or to your employer and is then anonymised and retained for benchmarking and analytical use only. We deem a reasonable time to hold data to be seven years after the final Squadify report is generated. This is to enable a team to decide to return to Squadify for a reasonable period after stopping using the tool and to be able to access their previous Squadify reports. After seven years the old reports are anonymised and the team must start again as a ‘fresh team’ without their history.
Any payment transactions processed by us or any applicable third party will be encrypted using SSL technology in accordance with this Privacy Policy.
Data transfers
In accordance with this Privacy Policy, we may send Personal Information to third parties, including those located outside of the territory in which the individual’s Personal Information is collected for processing by people who work for us or for one of our suppliers or their contractors. All data transfers are encrypted and anonymized so that third parties cannot correlate any information. Also, no analysis is carried out by humans directly, so we use algorithms and computational models to access the data.
Your right to access, correct, export or delete your Personal Information
If any part of these Terms is found to be void or unenforceable by a Court of competent jurisdiction, that part shall be severed and the rest of the Terms shall remain in force.Under GDPR rules (the strictest global standards) you are entitled to request access to your data at any time, and to correct, export or delete your data. You can do this by emailing such a request to thesquad@squadify.net
Complaints
If you have a complaint please direct an email to thesquad@squadify.net and we commit to respond within 3 working days.
In the case of a data breach
If we experience a data breach we commit to inform affected users within 24 hours and to keep them informed as we progress through the process to fix the breach. We have a clear process for reporting and addressing data breaches which is regularly reviewed and updated.
We carry out regular security audits with external security experts to maintain high standards of data security across our reporting and development platforms.
Direct marketing
We will only send you direct marketing if you specifically sign up for that. In that case we will seek to always provide value in all our communications, through data, insights, and research.
